Privacy policy

Kamara Cabins, LLC (“Kamara Cabins”, “we”) runs three cabins outside Luray, Virginia, and this website. We collect the information we need to take and run a booking, and we try not to collect anything else. We don't sell your personal information and we don't build profiles of you.

What we collect when you book

• Your name, email address and, if you give it, your phone number.
• The cabin, your dates, the number of guests and pets, and any note you add.
• Your reservation reference and what you paid, refunds and any discount code used.
• That you accepted the rental agreement and cancellation policy: when you accepted, which versions applied, and a fingerprint (hash) of the exact agreement text. The cancellation policy in force for your reservation is kept with it.

We use this to confirm and manage your stay, send your booking and check-in emails, answer questions, handle cancellations and refunds, keep our accounts and pay lodging taxes, and resolve any dispute or chargeback.

Your card details go directly to Stripe, our payment processor. We never see or store your full card number. We don't ask for a driver's license or ID through this website. Reservations made before 29 September 2026 also recorded the IP address and browser used to accept the rental agreement; we have deleted those, and we no longer collect them.

When you contact us or join a list

Messages from our contact, group and waitlist forms are emailed to us with the details you type and the page you sent them from. If you join the newsletter or a waitlist, your name and email address are added to our mailing list so we can write to you. Every email has an unsubscribe link.

What the website itself uses

• Google Analytics counts visits and booking steps so we can see which pages help people book and how people find us in search. It sets its own cookies (named _ga) and Google receives your IP address to estimate a general location. Our Analytics account is linked to Google Ads so that, if we advertise, we can measure whether ads lead to bookings; that link adds no extra tracking code to this site. We don't send Google your name, email or card details.
• Vercel Web Analytics and Speed Insights count page views and measure how fast pages load. They don't use cookies.
• Stripe loads on the checkout page to take payment and prevent fraud, and it sets cookies for that purpose.
• A short-lived cookie of our own (kc_checkout, 30 minutes) lets you return to a checkout you started. Your browser also remembers the dates you searched while the tab is open, so you don't have to type them again. That stays on your device.
• Like any website, our host receives your IP address and browser details when you load a page, to deliver it and keep the site secure. To stop abuse of forms, checkout and sign-in, we briefly count requests by IP address and delete those counts within about two hours.
• Videos on the site are YouTube videos in privacy-enhanced mode, and nothing loads from YouTube until you press play.

We don't use advertising pixels, and we don't collect precise location or device fingerprints.

Who processes information for us

These services handle information on our behalf, each for its own part of the job:

• Vercel (website hosting) and Neon (our reservations database)
• Stripe (payments, refunds and fraud prevention)
• Resend (sending booking and form emails) and Google (our email inbox)
• Mailchimp (newsletter and waitlist)
• Google Analytics and Vercel Web Analytics (website statistics)
• Cal.com (booking the separate cabin build consultation)

We may also share information when the law requires it, to protect guests, the cabins or ourselves, or with our accountant and legal advisers. If you book on Airbnb, Airbnb's own privacy policy applies to that booking.

How long we keep it

We keep reservation records, including the agreement you accepted and the amounts paid, for seven years after check-out, for accounting, tax and legal purposes and to handle any dispute. After that we delete them or remove the details that identify you, unless we need to keep them longer for a pending dispute, chargeback, insurance claim, tax matter or other legal requirement. Form messages stay in our email only as long as we need them. You stay on the mailing list until you unsubscribe.

Your choices

You can ask what we hold about you, ask us to correct it, or ask us to delete it where we don't need to keep it, by emailing kamaracabins@gmail.com or calling (540) 742-7115. You can block or delete cookies in your browser settings; the site still works without Google Analytics.

Security

Reservation records are kept in a private database that only we can reach, behind a sign-in. Payment card data is handled by Stripe. No method of storing or sending data is perfectly secure, but we take reasonable steps to protect what we hold.

Children

This website isn't directed to children, and we don't knowingly collect personal information from children. The booking guest must be at least 18.
