Kamara Cabins

Booking direct

Rental agreement

This is what you accept when you book. It is written for the cabin you are booking, so you only read the rules that apply to you — and the exact copy you accept is saved with your reservation, where later changes can never reach it.

This agreement is between Kamara Cabins LLC ("Kamara Cabins," "we," or "us") and the primary guest making the reservation ("you"). By completing your reservation, you agree to these terms and accept responsibility for everyone in your party.

Our goal is simple: to provide a comfortable, enjoyable mountain getaway while protecting our property, neighboring guests and the natural surroundings.

1. Your reservation

  • Property: The Turtle
  • Maximum occupancy: 2, including children
  • Check-in: 3:00 PM
  • Check-out: 10:00 AM
  • Quiet hours: 9:00 PM to 7:00 AM
  • Maximum pets: 2
  • Additional pet cleaning fee: $25 per stay
  • Designated outdoor smoking area: the observation deck

The guest's reservation dates, guest and pet counts, applicable charges and cancellation policy are confirmed at checkout and form part of this agreement.

2. Guests and occupancy

The booking guest must be at least 18 years old and legally capable of entering into this Rental Agreement. The booking guest must provide accurate booking information and stay at the property throughout the reservation.

The cabin accommodates a maximum of 2 people, including children.

Additional visitors require advance approval and must comply with applicable occupancy, parking and safety limits.

Parties, events, unauthorized commercial activities and third-party bookings are prohibited unless expressly approved in writing.

The primary guest is responsible for the conduct of everyone in their party.

3. Check-in and check-out

Check-in begins at 3:00 PM, and check-out is by 10:00 AM.

These times allow us to clean, inspect, restock and prepare the cabin for incoming guests.

Early check-in and late check-out require advance approval and are subject to availability.

4. Mountain road and property access

Kamara Cabins is located in a mountainous rural area and reached by a gravel road. Road conditions may vary due to rain, snow, ice and other weather conditions.

AWD or 4WD is strongly recommended. We cannot guarantee that any particular vehicle will be able to reach the cabins in every condition. Guests are responsible for arriving in a vehicle suitable for the conditions and for driving appropriately for them.

If the access road becomes temporarily blocked, we will make reasonable efforts to restore access and keep you informed.

Difficulty accessing an otherwise passable road due to a guest's vehicle does not, by itself, entitle the guest to a refund. If Kamara Cabins determines that the property is genuinely inaccessible and we cannot reasonably restore access or provide acceptable alternative accommodation, we will refund the affected unused nights.

Please contact us immediately if you encounter access difficulties.

5. Quiet hours and property use

Quiet hours are from 9:00 PM to 7:00 AM.

You're welcome to enjoy the decks, hot tub and outdoor amenities during quiet hours. Normal conversation and reasonable enjoyment are perfectly fine.

Please avoid loud music, shouting or other excessive noise that disturbs neighboring properties.

Repeated serious disturbances may result in termination of your reservation, subject to applicable law.

6. Smoking and cannabis

Smoking and vaping of any kind, including cannabis, are prohibited inside all cabins and on their main decks. Where lawful, adult guests may smoke or vape only in the property's designated outdoor smoking area. At The Turtle, that area is the observation deck. Guests are responsible for complying with all applicable laws.

Kamara Cabins does not sell, provide or distribute cannabis. Illegal drugs are prohibited throughout the property.

Covered smoking receptacles are provided. All cigarette butts and smoking waste must be properly extinguished and disposed of in these receptacles. Never discard smoking materials on the ground or in surrounding wooded areas.

Outdoor smoking may be temporarily prohibited during dangerous fire conditions.

Guests are responsible for reasonable, documented cleaning, odor-remediation or repair costs resulting from violations of this policy.

7. Fire safety

Every cabin includes an outdoor propane fire table. Propane is provided by Kamara Cabins.

Guests must follow the operating and safety instructions in the house guide.

Never leave an active flame unattended. Fire features must not be used during unsafe weather conditions or when prohibited by applicable fire restrictions.

Guests must turn off fire features after use and keep the surrounding area free of trash and combustible materials.

8. Hot tub and amenities

Every cabin includes a private hot tub and Starlink internet.

Guests must follow posted hot tub safety instructions, supervise children, avoid glass and foreign substances in the water, and refrain from using the hot tub while impaired by alcohol or drugs.

Do not tamper with equipment or safety systems. Report unsafe conditions or malfunctions promptly and discontinue use until the issue has been addressed.

Guests may be responsible for reasonable, documented costs resulting from misuse, contamination or damage.

Internet, utilities and amenities may occasionally experience interruptions. We will make reasonable efforts to resolve reported issues.

Substantial interruptions that materially affect your stay will be addressed fairly, including appropriate refunds where required.

9. Pets

Up to two pets are welcome at the property for an additional cleaning fee of $25 per stay, regardless of whether you bring one or two pets.

Service animals are not pets. They are welcome, do not count toward the pet limit, and are not charged the pet cleaning fee. Emotional support animals are treated as pets under this agreement.

All pets must be declared during checkout. Guests are responsible for supervising their pets, cleaning up after them and preventing damage or disturbances.

Guests may be responsible for reasonable, documented additional cleaning or damage costs beyond the standard pet cleaning fee.

10. Property care and safety

Please treat the cabin and its surroundings with reasonable care.

Accidents happen. If something breaks or is damaged, let us know promptly so we can address it.

Guests are responsible for reasonable, documented costs resulting from damage beyond ordinary wear and tear, missing property or excessive cleaning.

Only human waste and toilet paper may be flushed. Wipes, paper towels, feminine hygiene products, grease and other inappropriate materials must not enter the septic system.

Dispose of trash properly and leave outdoor areas reasonably clean.

Park only in designated areas. Do not block the gravel road, neighboring properties or emergency access.

Do not tamper with locks, smoke detectors, security cameras or other safety equipment.

This cabin has one exterior security camera, in the following location:

  • On the front edge of the cabin, covering the driveway directly in front of the cabin.

There are no interior cameras. Cameras are not positioned toward bedrooms, bathrooms, hot tubs or other private areas, and are used only for legitimate property and security purposes.

We may enter the property when reasonably necessary to address emergencies, safety concerns or urgent repairs. Reasonable advance notice will be provided except in emergencies.

11. Cancellation and refunds

All deadlines are measured in Eastern Time against the scheduled 3:00 PM check-in time.

Cancellation policy

  • Within 24 hours of booking, provided check-in was at least seven days away when booked: 100% refund.
  • At least 30 days before check-in: 100% refund.
  • From 14 days to less than 30 days before check-in: 50% refund of accommodation charges.
  • Less than 14 days before check-in: accommodation charges are non-refundable.

For cancellations before arrival, cleaning and applicable pet cleaning fees are refunded in full. Taxes are adjusted according to the charges refunded and applicable tax requirements.

Refunds are calculated using the amount actually paid after applicable discounts.

If cancelled dates are successfully rebooked, we may offer an additional discretionary refund based on the revenue recovered. This is not guaranteed.

Approved date changes do not automatically reset cancellation deadlines or restore expired refund eligibility unless we agree otherwise in writing.

No-shows and voluntary early departures do not automatically qualify for refunds. Once a guest has checked in, cleaning and applicable pet cleaning fees are generally non-refundable.

If a substantial problem attributable to the property makes the cabin unsafe, inaccessible or unusable, we will provide an appropriate remedy for the affected portion of the reservation, including refunds where applicable.

12. Serious violations

Unauthorized parties, major occupancy violations, dangerous or illegal activity, intentional damage, materially false reservation information and serious or repeated disturbances may result in termination of the stay.

Where appropriate, we will give guests an opportunity to correct a violation. Immediate action may be necessary when people or property are at risk.

Any termination, removal or refund will be handled in accordance with applicable law. We do not impose arbitrary penalties.

13. Liability and personal belongings

Guests are responsible for using the property and its amenities safely and following applicable instructions.

To the extent permitted by applicable law, Kamara Cabins is not responsible for lost, stolen or damaged personal belongings.

Nothing in this agreement excludes responsibility for our own negligence or limits any rights that cannot lawfully be waived.

In an emergency, call 911 first and notify us when it is safe to do so.

14. General terms and acceptance

This agreement is governed by Virginia law. If any provision is found unenforceable, the remaining provisions continue to apply.

The agreement, applicable cancellation policy and charges confirmed at checkout constitute the terms of your reservation. Any changes must be agreed to in writing.

By selecting the acceptance checkbox and completing your reservation, you confirm that you have read and accepted these terms.

Kamara Cabins preserves the exact agreement and cancellation policy accepted with your reservation. Subsequent changes do not alter the version you accepted.
